Volpe Service Company LLC, doing business as Volpe Service Company ("Volpe Service Company," "we," "us," or "our"), respects your privacy. This Privacy Policy explains what information we collect when you visit volpeservice.com, request HVAC service, sign up for our maintenance plan, or otherwise interact with us — and how we use, share, and protect that information.

Plain-English summary: We collect the contact and service details you give us (and standard analytics about your visit) so we can schedule and complete your HVAC service, send appointment reminders, and improve our website. We do not sell your personal information. You can opt out of marketing texts at any time by replying STOP. If you live in a state with privacy rights (like California, Virginia, Colorado, Connecticut, or any state that grants them), you can ask us what we have on file and request deletion at any time — see the rights sections below.

1. Information We Collect

1.1 Information you give us directly

  • Contact details: name, email address, phone number, mailing address.
  • Service address and property details: the address where service is needed and information about your HVAC system (equipment age, make/model, prior repairs, comfort issues).
  • Maintenance plan + payment information: if you enroll in our maintenance plan or pay for service online, we collect billing information through our payment processor. We do not store full credit card numbers on our servers.
  • Service history and System Operation Reports: records of the diagnostics we perform (including NCI measurements — static pressure, airflow, temperature split, combustion analysis), the work done, and any follow-up recommendations.
  • Communications: emails, text messages, call recordings, and live-chat transcripts when you contact us.

1.2 Information we collect automatically

  • Device and usage data: IP address, browser type, device identifiers, pages visited, links clicked, referring URL, approximate location derived from IP.
  • Cookies and similar technologies: we use first-party cookies for essential site function and analytics, and third-party cookies for advertising and remarketing. See Section 7.
  • Call tracking: when you call certain numbers on our site, we may use a call-tracking service to log the call source (which page or ad referred you) and the call duration. Calls may be recorded for quality and training; we will tell you at the start of the call when this applies.

1.3 Information we receive from third parties

  • Lead/referral sources: if you find us through Google, BBB, Angi, Nextdoor, or another platform, that platform may share basic contact information with us so we can respond to your request.
  • Financing partners: if you apply for financing through Synchrony, Wisetack, NEIF, or GreenSky on our site, those lenders share approval decisions and account status with us as needed to complete your project.
  • Utility rebate programs: as a SaveGreen NJ participating contractor (PSE&G) and an Elizabethtown Gas participating contractor, we may exchange limited information with these programs to process rebates on your behalf.

2. How We Use Your Information

  • Schedule, dispatch, and complete the HVAC services you request.
  • Provide quotes, estimates, and (if applicable) financing options.
  • Send service reminders, maintenance plan notifications, and tune-up scheduling messages.
  • Respond to inquiries and provide customer support — including via phone, email, and text message.
  • Process payments and send invoices and receipts.
  • Submit rebate paperwork on your behalf (when you ask us to) for PSE&G SaveGreen, Elizabethtown Gas, or other applicable programs.
  • Improve our website, services, and customer experience (including aggregate analysis of service trends across our 40+ service area).
  • Send marketing communications about seasonal tune-ups, special offers, and maintenance plan enrollment — only where permitted and only with your consent for SMS (see Section 6).
  • Comply with our legal obligations (tax records, contractor licensing requirements, court orders).

3. How We Share Your Information

We share your information only as described below. We do not sell your personal information for money or anything of value.

  • Service providers we hire to operate our business — including our website host, payment processor, call-tracking provider, CRM/scheduling software, text-message service provider, and email service provider. These vendors are contractually limited to using your information only on our behalf.
  • Financing partners (Synchrony, Wisetack, NEIF, GreenSky) when you choose to apply for financing — only the information needed to process your application.
  • Utility rebate programs (PSE&G SaveGreen, Elizabethtown Gas) when you ask us to handle your rebate paperwork.
  • Equipment manufacturers (Amana, Carrier, Trane, Lennox, Bryant, Mitsubishi, Daikin, etc.) for warranty registration and warranty claims on your behalf.
  • Analytics and advertising vendors (e.g., Google Analytics, Google Ads, Meta) so we can measure how our website performs and reach more customers like you. You can opt out of these uses — see Section 7 and Section 9.
  • Legal compliance and protection: when required by law, subpoena, or to enforce our agreements; to protect the safety and rights of Volpe Service Company, our customers, or the public.
  • Business transfers: in connection with a merger, acquisition, financing, or sale of all or part of our business, your information may be transferred — but the recipient will be bound by this policy or a successor with equivalent protections.

4. Use of Artificial Intelligence

Our website and tools may use artificial intelligence in limited ways — for example, to power an AI chat assistant, suggest content, or generate written material. AI-generated outputs are not professional advice and may be inaccurate or incomplete. All HVAC service work, diagnostic findings, and quotes are reviewed and performed by licensed Volpe technicians — never by AI alone. If we use call-recording transcription or other AI-assisted processing of your communications with us, the underlying recording or message is treated under this Privacy Policy.

5. Text Messages, Phone Calls, and TCPA Consent

If you provide your phone number through a form on our site, by calling us, or by texting us, you consent to receive service-related communications by phone and text — including appointment confirmations, technician arrival updates, service reminders, and follow-up messages.

If you separately opt in to marketing texts (by checking the marketing consent box on a form), you consent to receive promotional text messages from Volpe Service Company at the number you provide. Consent is not a condition of purchase. Message and data rates may apply. Message frequency varies and is generally up to a few messages per month per campaign. Reply HELP for help. Reply STOP to opt out at any time. Carriers are not liable for delayed or undelivered messages.

Phone calls (TCPA): we may call you using an automatic-dialing system or pre-recorded voice for service-related purposes. Separate express written consent is required (and obtained on the relevant form) for any auto-dialed or pre-recorded marketing calls. You can revoke this consent at any time by telling us during the call, by emailing [email protected], or by calling (973) 386-1606.

6. Cookies, Tracking, and Your Choices

We use cookies and similar technologies on volpeservice.com:

  • Essential cookies required for site functionality (set without consent).
  • Analytics cookies (e.g., Google Analytics) to understand how visitors use our site.
  • Advertising cookies (e.g., Google Ads, Meta Pixel) to measure ad performance and show relevant ads to people who have visited our site.

Your choices: most browsers let you block or delete cookies through settings. You can opt out of Google Analytics via the Google Analytics opt-out browser add-on and out of personalized ads through the Digital Advertising Alliance opt-out tool and the Network Advertising Initiative opt-out tool.

We honor the Global Privacy Control (GPC) signal as a valid opt-out of sale/sharing of personal information for residents of states where that signal is recognized. Because we do not sell personal information, the GPC signal is informational for Volpe Service Company, but we will not share information for cross-context behavioral advertising once we detect a GPC signal in your browser.

7. Your Privacy Rights

Depending on where you live, you may have specific rights regarding your personal information. We extend the following rights to all visitors who request them, regardless of state:

  • Right to know / access — request what personal information we have collected about you, the sources, and how we use it.
  • Right to delete — request deletion of your personal information (subject to legal record-keeping requirements, such as tax records for completed jobs).
  • Right to correct — request that we correct inaccurate personal information.
  • Right to portability — receive a copy of your personal information in a portable format.
  • Right to opt out of any sale or sharing of personal information for cross-context behavioral advertising. (We do not sell personal information.)
  • Right to non-discrimination — we will not deny you service, charge you more, or provide a lower quality of service for exercising any of these rights.

California (CCPA/CPRA): California residents have all of the rights above, plus the right to limit use of "sensitive personal information." In the 12 months preceding the effective date, we collected the categories of personal information described in Section 1 for the purposes described in Section 2, and disclosed them only to the categories of recipients described in Section 3. We do not sell or share (as defined by the CPRA) personal information.

Other states with comprehensive privacy laws (e.g., Virginia, Colorado, Connecticut, Utah, Oregon, Texas, Montana, and others as their laws take effect): residents of those states have substantially the same rights, exercised through the same mechanism below.

How to exercise your rights: email [email protected] or call (973) 386-1606. We will respond within 45 days (or the period required by your state's law) and may extend by an additional 45 days when reasonably necessary, with notice. We will verify your identity before fulfilling requests. An authorized agent may submit a request on your behalf with written authorization.

Appeal: if we deny your request, you may appeal by replying to the denial notice with the basis of your appeal. We will respond within 60 days. If the appeal is denied, residents of states with a right to file a complaint may do so with their state attorney general.

8. Children

Our website and services are intended for adults. We do not knowingly collect personal information from children under 13 (or under 16, where applicable). If you believe a child has provided us with personal information, please contact us at [email protected] and we will delete it.

9. Data Retention

We retain personal information for as long as needed to provide our services, manage your account or service history, comply with our legal obligations (including tax and licensing records), resolve disputes, and enforce our agreements. Service-history records may be retained for the expected lifetime of the installed equipment so future warranty and maintenance work is accurate.

10. Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is 100% secure. We cannot guarantee absolute security and will not be liable for breaches caused by circumstances beyond our reasonable control. We comply with applicable breach-notification laws.

11. Third-Party Links and Services

Our site may link to third-party sites (financing applications, manufacturer pages, review platforms). Those sites have their own privacy practices and are not covered by this Policy. We encourage you to read their policies before sharing personal information.

12. Changes to This Policy

We may update this Policy from time to time. When we do, we will revise the "Effective date" above. Material changes will be highlighted on this page. Continued use of the site after the effective date constitutes acceptance of the revised Policy.

Your Privacy Choices

Your California Privacy Rights — Do Not Sell or Share My Personal Information

This section applies to California residents and supplements the rest of this Privacy Policy (including Section 7), under the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA).

Categories of personal information we collect. Through this website, Volpe Service Company collects: identifiers and internet activity collected by analytics tools our website may use (such as cookie identifiers, IP address, device/browser information, and pages viewed); and contact information you submit through our forms (such as name, email address, phone number, and service details).

"Selling" and "sharing." We do not sell personal information for money. However, the use of third-party analytics and advertising cookies that support cross-context behavioral advertising may constitute "sharing" (and in some cases "selling") of personal information as those terms are defined by the CPRA.

Your rights. California residents have the right to opt out of the sale or sharing of personal information (Cal. Civ. Code §1798.120, §1798.121 — including limiting use of sensitive personal information), the right to know what personal information we collect, use, and disclose, the right to request deletion, the right to request correction of inaccurate personal information, and the right not to receive discriminatory treatment for exercising any of these rights.

How to opt out of sale/sharing. You can opt out in either of two ways: (1) use the consent choice presented on this website (or the "Do Not Sell or Share My Personal Information" link in the footer of every page, which brings you to this section), and decline non-essential cookies; or (2) enable the Global Privacy Control (GPC) signal in your browser — this website honors GPC automatically as a valid opt-out of sale/sharing, with no further action required.
